What we keep, who sees it and for how long.

Your details: Your name, roll number, program, contact details, and the names, relations and phone numbers of your guests. Registration records are kept for event administration until the university removes them.
Gender: We ask it once so organisers can report who attends, for example how many women and men. Only organisers see it, never other students.
Payment receipts: Only finance sees them. They are deleted 180 days after the event.
Entry and gowns: We record entry scans and gown collection and return. Staff actions are logged.
Who can see it: Organisers and finance see registrations. Gate staff see only what they need to let you in: your name, roll number, ticket, seat and guests. They never see your phone, email or payment.
Where it is stored: In the Mumbai region (India).
